Custom inventory management software that matches what is actually on the shelf

Custom inventory management software keeps the number in the system equal to the number on the shelf, which is the only measure that matters. Goods in, goods out, transfers between locations and stocktaking all leave a trace, so a shortfall becomes a question with an answer instead of an argument.

The number in the system equals the number on the shelf

// What you get

What does warehouse software have to get right?

Three things: that every movement is recorded at the moment it happens, that the person doing it can record it in seconds from a phone or a scanner, and that a discrepancy can be traced to a document and a person. Everything else is reporting built on top of those three.

Every movement leaves a trace

Receipt, issue, transfer and correction each carry a document, a time and a person.

Scanning instead of typing

A phone camera or a scanner reads the code, so a receipt takes seconds and holds no typing errors.

Several locations, one picture

Shops, warehouse and van each hold their own stock, and the total is always visible.

Stocktaking that ends in a number

Counting is done on a phone, and the difference report says exactly what is missing and where.

Reorder before it runs out

Minimum levels trigger a proposed purchase order rather than a phone call after the shelf is empty.

It hands data to accounting

Movements come out in the form your accountant already accepts.

// How it works

How do you start without stopping the warehouse?

With one location and one flow. We start where the losses are, usually goods in, run it beside the current method until the counts agree, and only then extend it to the rest. Nobody is asked to trust a new system with the whole stock on the first day.

01

We watch a working day

Where goods arrive, who records them, and where the number first goes wrong.

02

We start with goods in

The single flow that decides whether every later number is right.

03

We count in parallel

Two records side by side until they agree over a full period.

04

We extend it

Issues, transfers and stocktaking follow, one at a time.

// Straight answers

Do we need special scanners?

In most cases no. A modern phone camera reads standard barcodes quickly enough for receiving and stocktaking, and the software is built for that first. Dedicated scanners make sense at high volume, and the system supports them, but they are not the starting requirement.

Can it work with our online store?

Yes. Stock can be shared with the store so an item sold online reduces the same number the warehouse sees, which removes the most common source of overselling. The direction and frequency of that sync are set to match how you actually trade.

What happens when the count does not match?

The system shows the difference, the documents behind it and the movements in the period, so the conversation is about a specific transaction rather than about trust. Corrections are recorded as their own document, never as a quiet edit.

// FAQ

Common questions about inventory software

Four questions decide it: whether it works on the phones staff already carry, how goods in and out connect to documents, whether several locations are supported, and how the existing stock is loaded.

Does it work on the phones staff already have?+

Yes. The receiving, issuing and counting screens are built for a phone browser, so there is no app to install and no device to buy before you can test whether the system helps.

How does existing stock get loaded?+

Through one full count at the start, which becomes the opening balance. Loading last year's numbers from a spreadsheet is possible but it carries every old error forward, and we will say so.

Can it handle several warehouses or shops?+

Yes, each with its own stock and its own transfers between them. The total across all locations is always visible, which is usually the number the owner actually wants.

Can it print the documents we already use?+

Yes. Receipts, issue notes and transfer notes are printed in your own layout with your own numbering, because those documents often have to match what the accountant and the inspection expect.
